Translate the programme into a layout
Share what guests will do and when: registration, presentations, hospitality, demonstrations, networking or dining. Explain whether attendees arrive together or in waves, and which activities happen at the same time. This is more useful than a headcount without an event brief.
The structure, furniture and clear routes need to work together. Tell us about display stands, stages, screens, a bar, catering points or supplier equipment that needs a fixed position. Equipment availability and the final specification are confirmed in your proposal.
Bring suppliers into the same plan
- Event lead: identify the person who approves the specification and coordinates the site.
- Venue: confirm installation windows, unloading arrangements and any local requirements.
- Catering: describe service times, preparation or service areas and equipment.
- Audio and visual: set out presentation, sound, lighting and power needs.
- Operations: agree the handover, working area and collection arrangements.
Quote for the event you intend to deliver
Ask for the structure, finishes, tables and chairs, installation and any additional services to be itemised. If you have a procurement deadline or need a particular proposal format, include it in the enquiry. Use a setup photograph to explain your preferred finish.
Describe the guest journey from arrival to departure. Access requirements, hospitality and the move between activities should be considered alongside the visual presentation.
Peterborough venue and private-site enquiries
Send the precise venue or site rather than only “Peterborough”. Access can vary between a city venue, a business premises and a private outdoor site. Include unloading restrictions, working hours and known ground details so the team can consider the actual setting.
Each location and proposed use is assessed on its own brief.
Corporate enquiry checklist
Prepare the event date, postcode, programme, approximate attendance, furniture and service requirements, installation windows and onsite contact. Mark provisional items clearly. Use the quotation comparison guide to check that the proposal matches your final brief.
Let the programme shape the zones.
Activity zones only, not to scale or a confirmed event layout.
