Start with the floor and the way guests move
Explain the surface at the proposed site, the activities inside and how guests will move between them. Flooring and carpet options can be discussed alongside the layout. The team confirms which specification is appropriate and available; this page is not a technical installation recommendation.
A dance floor, a dining arrangement and service equipment each need a place. If you want a change of layout during the event, agree who moves what and when.
Choose a finish you can describe
Lining, swags, lighting and other finishes can be discussed as part of the proposal. Share the look you prefer, then ask for the actual items to be listed. Photographs show previous events with individual specifications, so they should be a starting point for a conversation.
| Element | Useful detail for your brief |
|---|---|
| Flooring or carpet | Proposed site surface, activity and finish you would like to discuss. |
| Lining or swags | Style references and the areas you want dressed. |
| Tables and chairs | Dining format, preferred table style, seating and any display tables. |
| Dance floor | Entertainment plan, its position and whether the layout changes later. |
| Lighting | Daytime/evening timings, internal atmosphere and external guest routes. |
Power and lighting need a joined-up brief
Lighting is only part of the demand. Share sound, entertainment, catering and other equipment requirements together so appropriate power arrangements can be discussed. Ask for the power supply, generator or external route lighting you need to be included in the proposal.
Any heating or other equipment also needs to be raised with the team before the specification is agreed. Suppliers should confirm their own requirements rather than leave them to be inferred.
Plan catering around the room
Tell us whether food comes from a staffed serving point, a buffet or another arrangement. Describe the number of guests, the meal time and any separate service space. Catering, waiting staff, crockery and other equipment are individual quotation items when requested; they are not automatic marquee inclusions.
Share the details of separately booked suppliers, including access and setup requirements. That helps avoid equipment being duplicated or a service area being left out of the plan.
Make the inclusions visible
Before confirming a booking, check the quantities, finishes, delivery and collection arrangements and who handles setup or changes during the event. List the items that matter to your day in the agreed specification.
See the finish in real setups
Compare the visible floor, roof finish, furniture and lighting in these previous setups. Use the details you like in your own event brief.
