Start with the site
Before you settle on a finish or guest layout, establish whether the proposed location can be considered. Describe the ground, clear area and route from unloading. Confirm venue permission and the times suppliers may work.
Match the space to the event
List dining, dancing, catering, entertainment and any other activity that needs room. Include the event’s transitions, such as evening arrivals or a change from meal service to dancing. Use the size guide to describe the brief rather than select a capacity from dimensions.
Use the marquee size guide and plan the wedding running order.
Make the quotation comparable
A useful proposal is specific enough to compare. Look for the structure, finishes, furniture, dates and installation arrangements. Write down any unresolved item and ask for confirmation before agreeing the booking.
A planning timeline
| When | What to have ready |
|---|---|
| First enquiry | Date, postcode, event type, numbers and a description of the site. |
| Discussing the proposal | Layout priorities, preferred finishes, furniture, food, entertainment and budget if known. |
| Before agreeing the booking | Written specification, total, payment terms, installation and collection windows, responsibilities. |
| Coordinating suppliers | One running order with supplier arrival times and service requirements. |
| Before installation | Confirmed access, clear area, onsite contact and any change to the original brief. |
Take a checklist to your venue visit
The printable brief contains prompts for measurements, access, layout and quote inclusions. It does not ask for personal data and does not send anything to the team. Use it to prepare questions, then share only the information needed for your enquiry.
