Plan for the whole event site
A covered event still has outdoor journeys. Guests may need to reach parking, toilets, the main building or a catering point. Describe those journeys in your Peterborough marquee brief and identify which ones could be affected by rain, standing water, heat or a change in ground conditions.
Ask the marquee team how weather-related decisions will be handled for the proposed setup. Operating instructions and any limitations must come from the agreed installation and handover information. A general website guide cannot set a safe wind threshold or confirm that an event may continue in particular conditions.
Create a decision record
| Decision | Agree with the relevant people |
|---|---|
| Who monitors changes? | The event lead and the team’s agreed contact arrangements. |
| Who can change the plan? | The role authorised to discuss the marquee, venue and programme. |
| What may need to change? | Supplier timings, guest routes, activity locations or the event programme. |
| How will people be told? | A practical way to inform the venue, suppliers and arriving guests. |
| What instructions apply? | The event-specific handover and operating arrangements. |
Prepare alternatives that are actually available
Discuss a change in running order or an alternative approved guest route with the venue. Check what a backup space can genuinely accommodate before listing it in your plan. A decorative canopy, side panel or separate shelter should not be treated as an automatically suitable alternative.
Raise catering, entertainment and power requirements with their suppliers too. Each should explain how its own equipment and service will be managed; avoid assigning one supplier responsibility for another supplier’s setup without agreement.
Report a changed site promptly
If the ground becomes soft, water collects along access or the proposed area changes, send a factual update before installation. State when the change was observed and show its location. During the event, follow the agreed contact route and instructions; do not modify the structure, fixings or electrical arrangements yourself.
