Ask the performer for the actual brief
Tell the team what you have booked or are considering: a DJ, musicians, presentations, another performance or a mix across the day. Ask the entertainment supplier for its space, access, equipment, power and setup requirements. A performer’s footprint includes more than the visible person or speaker.
For a Peterborough marquee event, also share when sound checks, performances and pack-down are expected. The venue’s event requirements belong in the same conversation. Availability of a dance floor, stage or other equipment must be confirmed in the proposal rather than inferred from a gallery image.
Choose between a permanent zone and a room change
| Approach | Decisions to resolve |
|---|---|
| Dedicated entertainment space | The equipment stays in place while dining, drinks and guest movement continue around the agreed zones. |
| Change after the meal | Furniture movement, temporary storage, the responsible people and the handover time need planning. |
| Several uses in sequence | Speeches, presentations and evening entertainment may involve different equipment and positions. |
See the activities together
Use the concept to explain your priority: for example, keeping the meal and dance area available together. The team can then discuss the suitable structure and furniture specification with the actual supplier brief.
Agree the changeover and the finish
Identify who can approve a late programme change and who communicates it to catering, the venue and the entertainment supplier. Keep cables and equipment positions within the agreed arrangements. At the end of the event, coordinate entertainment pack-down with guest departure and the marquee collection plan.
